What’s new in 2026?

Vermont Fest 2026 will again feature the Interactive Learning Lounge on Friday. This hands-on exhibit features leading innovative educators in Vermont, showcasing how they are leveraging hands-on activities coupled with technologies to build design thinking skills and enhance learning. While the regular Vermont Fest exposition takes place on Thursday, a limited number of spots will be made available for sponsors who wish to also showcase their products and services in conjunction with the Interactive Learning Lounge. Sponsors of the Interactive Learning Lounge are encouraged to host an interactive hands-on drop-in activity at their exposition table.

Interactive Learning Lounge – $750 – An exposition table on Friday at the Interactive Learning Lounge and logo placement on signage. +$500 recognition as the “Presenting Sponsor” – i.e. “Interactive Learning Lounge presented by Vita-Learn”.

Sponsor & Exhibitor Frequently Asked Questions:

How do I claim the complimentary conference registrations that are included with my sponsorship or exhibit booth?

➢ Approximately 2 months prior to the conference start date, you will receive a complete Sponsor & Exhibitor Guide. This will include instructions on how to register your company representatives. You will be given a discount code which you will enter in the payment section of the registration. This discount code will change the registration fee to $0.00 for the number of complimentary registrations you are entitled to receive.

What if I have additional people from my organization who are planning to attend? Do these people have to register?

➢ Additional conference registrations will be available to purchase by sponsors. Wednesday/Thursday registration is $175, and Wednesday through Friday registration is $325; a significant decrease from the cost of attendee registration. Registration is required in order to participate in the event, including staffing an exhibit booth and/or presenting a workshop, since meals will be held in the same space.

Where can I find information about hotel accommodations?

➢ Please refer to the conference website for complete information on hotel accommodations. We recommend that you reserve your hotel rooms immediately upon committing to sponsor/exhibit so that you can receive the group rate within the conference room block.

Will I be given a booth number for my exhibit space?

➢ Most exhibits are table top exhibits and we ask that you plan to use the table that is provided, and not more than 2 feet of space around the table to set up your display. We do not typically provide table numbers, but rather, there will be a sign with your company name on your assigned table when you arrive. Please plan to check in at the conference registration desk when you arrive and our conference managers will direct you to the exhibit area.

How do I order electricity and/or A/V services for my exhibit table?

➢ Each exhibit table will be set with access to electricity (no additional fee) and there is free wi-fi throughout the resort.

Can I ship my exhibit materials to the Killington Grand Resort in advance?

➢ All exhibitors and sponsors are responsible for paying for their shipping expenses to and from the Conference. A shipping form will be included with your Exhibitor/Sponsor Guide, which will include per-box pricing.

Sponsorship Terms & Conditions

Availability: Sponsorships to the Vermont Fest 2025 conference are available first to Vita-Learn Corporate Members, and then to all interested parties. In both instances, availability is on a first-come, first-serve basis.

Code of Conduct: All representatives should treat fellow attendees, speakers, and exhibitors with respect and courtesy. Maintain a professional demeanor at all times. Please see the Vita-Learn Code of Conduct.

Intellectual Property: Do not violate intellectual property rights, including trademarks and copyrights. Obtain permission before using third-party materials in presentations.

Timeliness: Adhere to deadlines for submitting materials such as company logos, descriptions, representative registrations, speaker profiles, presentation information, and other required materials. Follow the published agendas, and be present during Vermont Fest Expo hours.

Exhibit Table Standards: Exhibitors must adhere to the space assigned and allotted to them. Vita-Learn will do its best to accommodate situating exhibitors appropriately that require a little extra room for equipment such as free-standing flat panel displays or large format printers. Exhibitors that anticipate bringing this type of equipment must notify the conference in advance for accommodations.

Payment: Payment for sponsorships are preferred at the time of submitting your sponsorship registration. Minimally a 50% deposit is due no later than September 1. Full payment is due no later than October 1 or your sponsorship may be resold.

Cancellations: To cancel your sponsorship and receive a full refund, we must receive your cancellation request by September 1, 2026. Cancellation requests received between September 1 and October 1, 2026 will be responsible for 50% of the sponsorship fee. There will be no refunds issued after October 1, 2026. All refunds are subject to a 3% administrative fee.
